HR Coordinator


 We are seeking a CTY HR Coordinator who will support the CTY HR team in its efforts to function as a proactive, strategic partner to various CTY teams and departments. Under the direction of the HR Generalist, this role will perform various tasks in the areas of payroll administration, training reporting and coordination, talent acquisition administrative support as well as providing administrative support for other various HR and CTY projects. This role requires the ability to maintain confidentiality of payroll/personnel information at all times.

Specific Duties & Responsibilities

Talent Acquisition Coordination & Support

Provides operational and administrative support in a high-volume, fact paced recruiting environment.
Provides administrative support for pre-employment screening, including background check requirements.
Assist with conducting new employee on-boarding required to obtain appropriate documentation to hire full-time and casual staff.
Coordinates and monitors processes and compliance requirements related to posting new requisitions for casual and full-time staff. Provides proactive updates to centralized talent acquisition teams within the University and CTY and hiring managers.
Monitors I-9 and employment eligibility requirements for staff.
Assist Payroll Coordinator with facilitating and advising managers on the visa employment process.
Coordinating the onboarding process which includes sending "Welcome" emails and offer letters; collecting employee information required for SAP and EEO requirements; and serving as a primary point of contact for the employee to provide guidance throughout the initial introductory period for full-time and casual staff.

Performance Management

Coordinates reporting and administrative efforts related to the Performance Management process including goal setting, 120-day, mid-year and annual reviews.

FMLA Administration

Coordinates the FMLA and STD/LTD process for CTY employees requiring leave.
Provides guidance to staff on FMLA and other leaves, sends FMLA paperwork, etc.
Determine and communicate to employees/supervisor's appropriate leave usage and codes, and update staff time keeping system to reflect correct use of accrued sick or vacation, short-term disability, and/or leave without pay for all staff on family medical, and other leaves of absence.

Training Coordination & Support

Monitor and report on staff training and certification compliance.
Ensure training and of staff members are documented according to University practice and regulatory requirements.
Work with third party training vendors to coordinate in-house trainings.
Ensure coordination of a variety of training calendars across the Center to facilitate securing training rooms and managing other logistics required for participants to have a positive experience. Assist with registration and enrollment as needed.

Payroll Assistance

Assist with and serve as back up for payroll processing needs including all documentation, processing, maintenance, and reporting.
Provide exceptional customer service to all staff to respond to questions related to payroll and employment. Anticipate potential payroll issues and questions and take pro-active action to prevent development of problems or resolve problems.
Enter transactions in the SAP system in accordance with established quality and accuracy standards including but not limited to onboarding new hires, salary changes, leaves of absence, supplemental pays, other pay adjustments and terminations. Serve as initiator and approver, as appropriate.
Manage paper and electronic employee records consistent with record retention policies and programs.

Other Duties

In the absence of the Sr. HR Coordinator will answer questions and provide guidance to employees and managers pertaining to varying HR issues, such as training and development, hiring and onboarding, and FMLA compliance matters.

Knowledge of HR related laws and regulations including FMLA requirements
Demonstrated ability to meet deadlines and prioritize work assignments.

Advanced knowledge of Microsoft Office tools including Excel and Teams.
Comfort level and ability to communicate with staff at all levels.

Physical Requirements

Ability to sit in a normal seated position for extended periods of time.
Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery.
The incumbent will be required to communicate regularly via telephone and face to face with internal and external customers and must be able to exchange accurate and timely information in these settings.
Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.

Additional Information

Applicants must be authorized to work in the US.
All employees participating in or serving children in University programs must participate in mandatory Child Abuse Prevention online training on the appropriate conduct around children, protecting children from abuse and neglect, and reporting of known or suspected child abuse and neglect.

Minimum Qualifications

High School Diploma or graduation equivalent.
Three years related experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: Min $17.95 - Max $32.60 HRLY ($47,355 budgeted; Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
